Administrative Assistant, TB-LON 3 Project

The Institute of Human Virology (IHVN) is a leading and reputable non-governmental organization addressing infectious and non-infectious diseases such as HIV, tuberculosis and cancer through the provision of prevention, diagnosis, treatment, capacity building, research, and care and support services. IHVN is in partnership with local and international organizations and the different tiers of the government of Nigeria at national, state and local levels. The TB-LON 3 Project is a USAID-funded Award that is a revolutionary program working with communities, facilities and relevant State and National structures to improve access to TB case finding, diagnosis, treatment and notification in Lagos, Ogun, Osun and Oyo States; as well as increase domestic financing for TB and strengthen surveillance and integrated reporting across four result areas:

  1. Improved access to high-quality, person-centred TB treatment, DR-TB, and TB/HIV services for a cumulative number of at least 106,576 persons for the life of the activity
  2. Strengthened systems and structures for TB detection, treatment and notification with TB service delivery platforms strengthened
  3. TB disease transmission and progression reduced
  4. TB research and innovation accelerated with improved impact on program implementation.

Job Title: Administrative Assistant, TB-LON 3 Project

Job Summary:

The Administrative Assistant will work under the guidance and supervision of the State Lead and Regional Senior Administrative Officer, to provide administrative and logistics support services to the program implementation team and operations of the general office management of USAID Nigeria TB-LON 3 Grant.

Responsibilities:

  • Provide administrative and secretarial support services for the implementation of the Project;
  • Assist with effective management of day to day operations of the office;
  • Support coordinating internal and external meetings, trainings, venues, logistics, provision of materials and refreshments particularly during multiple meetings;
  • Logistics support to staff/visitors including liaising with program management unit on team itineraries, appointments according to schedules developed by department members;
  • Make travel arrangements as requested by program staff and facilitate retirement of trips by staff
  • Support staff meetings, set up of conference rooms and meeting rooms, ordering and setting up audio-visual equipment and agendas, take minutes of meetings and write reports as requested, file records of meetings and circulate minutes;
  • Assist with production of presentation materials for staff members;
  • Make needed arrangement for services for telephone and e-mail, obtaining quotations for required services, arranging for repairs of office equipment;
  • Documentation and archiving of program documents including collation and filing of quarterly, monthly and weekly work plans and reports;
  • Conduct weekly and monthly supervision of office motor vehicles, as well as the drivers with daily vehicle check list;
  • Perform additional duties as assigned by the Regional Administrative Officer.

Minimum Requirements:  

  • HND/B.Sc in Business administration or any of the Social Sciences or Arts disciplines; membership or certification in recognized professional bodies will be an added advantage.
  • Minimum of 3 years post-qualification hands-on experience in a similar role; experience working in an International NGO or Grants operational environment is desirable.

Job Summary;

 The Driver will provide secure and timely driving services, demonstrating the highest standards of professionalism, discretion, integrity, sense of responsibility, excellent knowledge of protocol whilst ensuring compliance with local driving rules and regulations. S/He will be expected to travel extensively with Program staff for monitoring and technical support to sites, participation at trainings, meetings, outreaches and program review workshops.

Responsibilities:

  • Provide reliable and safe driving services for staff and officials: Drives office vehicles for the transport of IHVN staffs, officials, visitors and delivery and collection of mail, documents and other items.
  • Conduct maintenance of all assigned vehicles: Ensuring that vehicle is kept in good running condition at all times through addressing minor repairs, making arrangements for major repairs, timely changes of oil, check of tires, brakes, water levels, and car washing.
  • Document all vehicle related information: Ensuring the availability of all the required documents/supplies including vehicle insurance, vehicle registration, vehicle log books, fuel voucher booklet, office directory, map of the city/country, first aid kit, and necessary spare parts in the assigned vehicle; keeps track of insurance and other tax formalities.
  • Perform additional duties as assigned by the Transport Assistant and Regional Administrative Lead.

Minimum Requirements:    

  • Education: A secondary education is required, along with a valid driver’s license.
  • Knowledge of local driving rules and regulations.
  • A minimum of 2 years of work experience as a Driver in a similar organization will be an added advantage.
  • Fluency of the local language of the duty station as well as proficiency in English is required.

Responsibilities:

  • Ensure the sample couriers apply the developed hub and spoke model in the sample referral process
  • Review processes to ensure appropriate documentations are done in the correct documenting tools.
  • Collate and review monthly sample referrals/result retrievals and process for timely request for funding of the couriers for uninterrupted sample referral and result retrieval in the states.
  • Travel to supervise and monitor effectiveness of the sample referral process within the state.

Job Summary:

SPO HMIS will be a highly skilled full-stack software developer with experience in building web applications using Java/PHP who will be responsible for analyzing program requirements and business objectives, determining application features, functionalities, recommending and implementing changes to existing Java/PHP-based applications, among other duties.

Responsibilities:

  • Creating DHIS 2 technical design documents for complex projects as needed;
  • Identifying opportunities to leverage DHIS 2 and other custom development technologies;
  • Preparation of DHIS 2 user documentation and training documentation;
  • Support DHIS2 project implementation;
  • Installation and management of softwares for patient and program level data management;
  • Providing technical support for the deployment and maintenance of softwares related to tuberculosis Program;
  • Ensuring all electronic data collection and reporting platforms are functional at all TB LON3 facilities and locations;
  • Testing new releases of softwares and provide feedback to developers;
  • Running updates on all electronic data collection and reporting platforms when necessary, document and report issues/ challenges identified;
  • Ensuring the National Electronic Tuberculosis Information Management Systems (NETIMS) are functional across all TB LON3 states and facilities;
  • Making recommendations on new features on electronic platforms based on interaction with healthcare team;
  • Reviewing results and address challenges with information systems;

  • Supporting the quality control systems and mechanisms needed to guarantee proper management of information and data quality assurance;

  • DHIS 2 (and other Health Information System) implementation experience highly desired;
  • Experience with responsive user interface design, database structures and statistical analyses;
  • Proficiency with fundamental front end languages such as HTML, CSS and JavaScript;
  • Familiarity with JavaScript frameworks such as Angular JS and React;
  • Proficiency with server side languages such as Java, PHP, Python and R programming;
  • Working knowledge of Java, JSP, EJB, XML, web services;
